Conditions of Reservation, Admission and Accommodation
Academic Year 2026/2027
Last updated: 22 June 2026.
These Terms and Conditions govern the application, admission, reservation and accommodation process at Odonia Residence, a student residence located at Avda. Quitapesares, 11, 28670 Villaviciosa de Odón, Madrid, Spain.
This information is provided for pre-contractual and informational purposes only. The specific terms applicable to each stay—including the allocated room, accommodation fee, dates, meal plan and any other relevant conditions—shall be set out in the individual offer, the Admission and Accommodation Agreement and its annexes.
1. Application and Admission
Submitting an enquiry or application form does not, in itself, constitute a confirmed room reservation. Admission is subject to availability, evaluation of the application by Odonia Residence, and receipt of the documentation required to prepare the accommodation agreement.
Once availability has been confirmed and the specific terms of the stay have been accepted, Odonia Residence shall provide the resident and, where applicable, their parent, legal guardian or financial guarantor, with the contractual documentation required for review and signature.
2. Confirmation of the Accommodation
In order to confirm admission and secure a room, the following will be required:
- Signing the Admission and Accommodation Agreement together with any applicable documentation.
- Payment of the admission fee.
- Payment of the corresponding security deposit.
- Provision of the required identification, academic, financial and banking documentation.
There is no separate charge referred to as an “initial room reservation fee”. A room is secured upon payment of the admission fee and the security deposit specified in the Admission and Accommodation Agreement.
3. Admission Fee and Security Deposit
The admission fee amounts to €300. This fee covers the administrative processing of the admission, opening of the resident’s file, preparation of the contractual documentation and the administrative reservation of the accommodation. Once the agreement has been executed, the admission fee is non-refundable, except where cancellation is directly attributable to Odonia Residence.
The security deposit shall be equivalent to one month’s accommodation fee for the contracted room, unless a different amount is expressly stated in the individual terms and conditions. The security deposit does not constitute payment of the final monthly instalment and may not be used unilaterally by the resident to offset any outstanding payments during the stay.
4. Duration of the Stay
Accommodation is contracted for the 2026/2027 academic year, with a mandatory duration of ten (10) months. The exact arrival and departure dates shall be specified in each resident’s individual agreement.
Accommodation during the summer months is not included unless expressly agreed in writing by Odonia Residence. Monthly payments constitute instalments of the total accommodation fee for the contracted period and do not create a separate month-to-month accommodation agreement.
5. Fees and Payment Terms
The monthly accommodation fee will depend on the room type selected, the meal plan, any applicable promotional offers and the individual terms agreed with each resident.
Monthly payments must be made in advance between the 1st and 5th day of each month, using the payment method agreed with Odonia Residence. The first regular monthly payment shall not be due before the resident’s arrival unless otherwise expressly agreed in writing by the parties.
Where payment is made by direct debit, the account holder must sign the corresponding SEPA Direct Debit Mandate before the first payment is collected.
6. Services Included
Unless otherwise expressly stated in the individual terms and conditions, the accommodation fee includes:
- Use of the contracted room or another room of the same or equivalent category.
- Use of the communal areas.
- Standard supplies of water, electricity, heating and air conditioning, gas and internet access.
- Breakfast.
- Weekly room cleaning.
- Weekly laundry and ironing of personal clothing.
- Routine maintenance resulting from normal use.
- Use of the swimming pool, gym, study rooms, coworking spaces, cinema/TV room and all other available communal facilities.
The availability of these services shall be subject to opening hours, occupancy limits, maintenance requirements and the Residence House Rules.
7. Optional Services
Residents may purchase the following additional services, subject to availability:
- Half Board: €150/month.
- Full Board: €300/month.
The meal plan may be changed from one month to another upon written request submitted within the deadlines established by Odonia Residence.
Unless otherwise agreed in writing, the accommodation fee does not include additional laundry or dry-cleaning services, extraordinary cleaning, replacement of lost keys or access cards, repairs arising from misuse or negligence, medical or pharmaceutical expenses, taxi services, ambulance services, external transport, parking, electric mobility services, bank charges resulting from failed payments or any other service not expressly stated as included.
8. Cancellation Before Arrival
Any cancellation must be notified to Odonia Residence in writing.
The admission fee is non-refundable once the Admission and Accommodation Agreement has been executed, except where cancellation is directly attributable to Odonia Residence.
If written notice of cancellation is received before 1 August 2026, 100% of the security deposit paid will be refunded.
If cancellation is notified on or after 1 August 2026, or if the resident fails to arrive on the agreed arrival date without prior written notice of cancellation, Odonia Residence may retain the full security deposit as compensation for reserving the accommodation, the administrative work carried out and the inability to allocate the room to another resident.
In duly documented cases of force majeure or unforeseen circumstances beyond the resident’s control, Odonia Residence will assess each situation individually and in good faith.
9. Early Departure During the Academic Year
Accommodation is contracted for the full ten-month period. A resident’s voluntary departure before the agreed end date of the stay does not automatically release them from the financial obligations assumed under the Admission and Accommodation Agreement.
In the event of early departure, the resident and their financial guarantor must notify Odonia Residence in writing as early as possible, indicating the effective date of departure. Odonia Residence reserves the right to claim any outstanding amounts due, compensation for damages, unpaid charges and any fees corresponding to the mandatory contractual period.
However, if the accommodation is subsequently occupied by a new resident during the remaining contractual period, the net amount received from that replacement resident shall be deducted from the outstanding balance, thereby avoiding double recovery for the same accommodation.
10. House Rules and Internal Regulations
Staying at Odonia Residence implies acceptance of and compliance with the House Rules and Internal Regulations in force.
The House Rules govern, among other matters, the use of bedrooms and communal areas, visiting hours, quiet hours, safety, shared living standards, prohibited conduct and liability for damages. [View the House Rules].
11. Room Inventory, Condition and Return of the Security Deposit
Upon arrival, the resident may be required to sign a room inventory and condition report, including photographs and a list of the furniture, keys, access cards and any other items provided.
At the end of the stay, the resident must remove all personal belongings, return all keys and access devices, and vacate the room.
Once the room has been inspected and all outstanding amounts have been settled, Odonia Residence shall, where applicable, refund the security deposit within a maximum period of thirty (30) calendar days.
Odonia Residence may deduct from the security deposit any outstanding balances, damages, losses, extraordinary cleaning costs, replacement of keys or access cards and any other duly justified expenses.
12. Data Protection and CCTV
Odonia Residence shall process the personal data of residents, financial guarantors and emergency contacts for the purposes of managing applications, admissions, accommodation, invoicing, payments, security, communications and the provision of residence services.
The Residence may operate CCTV systems at entrances, reception areas, corridors, communal areas, the external perimeter and other authorised locations for the purpose of protecting the safety and security of residents, visitors, property and facilities.
No cameras shall be installed inside bedrooms, bathrooms, changing rooms or any area intended for strictly private use.
The use of a resident’s image, video or voice for promotional or marketing purposes shall require separate, explicit and freely given consent.
